The workflow for signing off a Billing Sheet is as follows:
The setup phase is used to assign the staff who will be responsible for determining each discipline's invoice and holding amounts. This is typically done by the Project Lead, and the role is called the Invoice Controller.
The discipline approval phase is where each discipline determines how much to invoice and to hold and therefore how much to write-off. This is required for each discipline on the job.
Approver acceptance is where the invoice controller from above makes any additional invoicing notes and approved the billing sheet releasing it for write-off approval if required.
Writeoff Acceptance is determined by TIMS. It will either be Not Required when there is no write-off or Required.
They are automatically escalated in TIMS according to the value of the write-off. Regional Managers have the approval to write off from $0 - $5,000. Any amounts over $5,000 are escalated to the COO for approval.
These write-offs can be challenged by the approver at this time and further questions asked - possibly the write-off will not be approved and the project should go back to Phase 3 for Approver Acceptance to review the write-off.
Once approver and if required write-off acceptance has happened, the Billing Sheet is released to the finance team to invoice.
Once the finance team have invoiced they complete the process and TIMS builds any on holds for the next billing period
