Using the Tag System

Overview

The tag system in TIMS is designed to allow for easy categorization of various types in TIMS, such as Jobs, Documents, Comms and News Posts.

Tags enable more effective searching and provide additional information at a glance, for example helping you see that a Comm pertains to "Project Management" or "Environmental" disciplines without having to read the text of the post.

Tags are split into categories, each color coded to provide further ease of recognition once you become familiar with them. They are currently subdivided as follows:

Selected Tags View

The default view you will see when viewing tags is the list of selected tags. This provides a short overview of what has already been selected.

If these tags are not display only you can simply click on a tag to remove it.

Tag Categories View

To get a more detailed view of the tags, grouped by their categories, you can click the "Show Categories" link at the top-right.

This will switch to category view, showing you every tag and their groupings.

You will notice that some tags are more opaque than others, these are the selected tags in this view. Clicking on these tags will cause them to be de-selected and conversely clicking on one of the more pale tags will cause it to be selected.

Filtering Tags

There is also a text filter available that will narrow down what tags and categories are shown. Typing in the tag filter will immediately switch to category view and reduce the number of tags and categories visible. In the below example we've entered the text "st" and the list has been reduced to show only tags containing that text.

Using the Tags

It is best practice to add as many tags as you think will adequately categorize the item you are working with. For example: If you were writing a news post about new PPE requirements on sites in Auckland that arose as a result of Covid-19 restrictions you would want to use the tags "Auckland", "Covid 19", "Site Safety" "PPE" and "Guidelines". If anyone in future is looking for posts about these specific things any combination of those 4 would result in a match on this post. 

To remove a tag you can simply click the (x) next to the tag name in the "selected tags" list.

Creating Tags

If you need a tag that isn't currently in the list you can click the "Create Tag" button.

This will cause the interface to switch to the Category view described above, as well as showing another set of controls at the bottom for creating a tag.

You will only be able to create a tag in categories that aren't "fixed". The categories you can create tags for will be shown in the dropdown.

After creating a tag it will be immediately linked to your job/document etc and will also be available for other people to use.

NOTE: If you remove a non-default tag that hasn't been used elsewhere it will be deleted permanently - this is intended to allow people to remove tags with typos etc.

 

Searching Using Tags

The main benefit of tags is to easily find content based not on particular details, but the categorization provided by tags.

Currently in TIMS the tags system can be used to find the following types:

  • Comms
  • News Posts
  • Documents

There will be more thing searchable via tags in the near future, such as jobs.

To search using tags in the region that allows you to search or filter you can select the tags that you want the results to contains. For example in Comms:

  1. Click the filter button to switch to the Comm Filtering view.


  2. Search for and select the tags you want to filter by, in this example we've selected "Project Management".

    Note: All tags matching the term "proj" are shown here, but those that are not selected are faded.


  3. Click "Apply Filters" to view the list of comms that contain the "Project Management" tag.
